The Front Desk Receptionist plays a key role in creating a positive experience for our clients. In this position, you’ll serve as the primary point of contact for our clients, answering phones and greeting customers. This is a full-time position, located in our Chatham office from 8:00 AM to 4:30 PM Monday through Friday.

Responsibilities

  • Serve as the primary phone receptionist and front desk greeter, making clients, prospects, and visitors feel warm and welcome
  • Properly route incoming phone calls to staff members
  • Pick up, process, and distribute incoming mail, as well as collect and send outgoing mail daily
  • Check and distribute incoming MetzWood messages (emails, texts, and faxes} several times daily
  • Processing of auto & home inspections
  • Responsible for various accounting/billing responsibilities such as:
    • Processing payments from clients on the phone and in-person
    • Operating checks, direct bill advances
    • Entering and coding direct deposits commissions in Agency Management System (AMS)
    • Entering commissions and fiduciary payments in AMS
    • Preparing and bringing desposits to bank at least twice weekly
  • Manage supply inventory and ordering for all office & kitchen supplies
  • Support office culture and engagement by coordinating office events and lunches
  • Update MetzWood's procedure manuals, and other Word and Excel projects
  • Miscellaneous office tasks such as watering plants, taking trash out weekly, etc.
  • Other administrative tasks as needed to help the broader MetzWood team

Qualifications

  • Experience in customer service, interacting with customers over phone, in-person, and email
  • Upbeat and positive personality
  • Eagerness to work in a team environment
  • Superior multi-tasking skills
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Experience with bookkeeping/accounting a plus, but not required
  • Ability to learn quickly, from understanding agency processes and procedures to adeptly utilizing our Agency Management Software system (Applied Epic)
